Order Processing, Stock Control & Sales Database System

Humber VHB produce the Growing Herbs sold by the major supermarkets and we have worked with them to develop two Access databases that provide an important role in their business for stock control, orders and sales processes.

Herbs Database

The lifecycle of the herb progresses from the initially sowing of the seed, a germination period, spacing to more benches, the growing phase through to the harvesting.

The database maintains of a record of type of plant sown (eg Basil, Mint etc), quantity sown and bench numbers. Following germination it logs details of the bench numbers spaced to and any wastage.

When the crop is harvested the quantity harvested and any wastage are recorded and the bench made available for the next sowing.

Traceability is provided by recording the seed and peat batches and all sowing, spacing and harvesting bench numbers.

Parameters log the average times for the germination and growing phases and therefore the system is able to provide a predicted harvest date for each bench.

The availability display is used by the Sales and Marketing department when negotiating orders with Customers. This displays the projected availability on each day in future and is colour coded to indicated whether the quantities are predicted or confirmed.

Reports and enquiries provide details of the actual germination and growing times based on the recorded sw, space and harvest dates.

Herbs Capacity Planning

This database provides Humber VHB with the ability to enter sales forecasts for the various crop types.

Using these forecasts and parameters for the pots per bench, germination days, growing days, and spacing requirements the system calculates the sow dates, spacing dates and number of pots and benches at each stage.

The data is then displayed graphically to show the capacity loading and evaluates where over/under loading is predicted. The parameters and the number of benches and bays adjusted for the system to re-calculate and display loading on a what-if basis.

The resultant plan would then be used to plan the supply of seeds and peat and provide a guide to actual sowing plan.
